Slaughter and Processing Terms and Conditions

First-Time Customers - A 50% non-refundable deposit is due within 7 days of signing your sales order.

Returning Customers - A 30% non-refundable deposit is due within 7 days of signing your sales order.

Every Booking requires a deposit.

Deposits must be paid within 7 days of signing you sales order. 

A $35 late fee will apply to payments received after this period. 

Please note that repeated late deposits may impact the scheduling of slaughter and processing services, including requiring full payment at the time of booking or canceled bookings.

No birds may be dropped off without a paid deposit.

Standard Availability - 31 days or more in advance with a completed deposit, regardless of the 7-day window. 

(If booked at 31 days and the deposit is not paid for Rush Availability Fees will be applied)

Rush Availability - 30 or fewer days before booking.  

Bookings made within 31 days of the processing date are subject to a 15% Rush Availability Fee, applied to the base slaughter invoice. A minimum fee of $25 and a maximum fee of $250 apply. This fee reflects additional labor and scheduling costs required to accommodate short-notice processing.

Changes in cuts within 31 days of booking +$1.50 per bird not cut from the original booking.

Turkeys are $1.50 per lb., with an additional $15 charge for each bird over 26 lbs. dressed weight.

$20 minimum per Turkey. 

Turkey Weight is Dressed Weight and includes cavity-packed Giblets.

The invoice will be updated after packaging and before pickup.

Feet Harvesting

Quality Standard

If, by visual inspection, feet do not appear healthy enough to reasonably yield at least 50 percent usable product, they will not be harvested and will be treated as offal. Harvest fees will not be charged in this case.

Pro Tip for Farms Harvesting Feet

Clean bedding in housing and regular moves to fresh pasture significantly improve foot quality and harvest yield.

Offal and Discard Barrel Fees

Proration Rules

  • Charges are prorated by barrel usage

    • 0.25 barrel filled = charged 25%of barrel fee
    • 1.5 barrels filled = charged for 1.5 barrels
    • 4.5 barrels filled = charged for 4.5 barrels

Chickens: must be in poultry crates labeled with the farm or personal last name. 

We will label crates not labeled with tags if not labeled for $1 per crate.


Ducks and Turkeys: Please confirm with Steadfast if you are brining them in Poultry crates or need a Catch Pen to put flock in upon arrival. Crates must be labeled with farm name or personal last name.


We will label crates not labeled with tags if not labeled for $1 per crate.

Poultry packed exceeding 50lbs per crate will require additional separation for handling and to ensure animal welfare.

If the crate weighs more than 50 lbs. or the birds are overcrowded because of size we will separate them into additional crates as necessary and add a $10 rental fee per additional crate to the pickup invoice as well as $1 per pound over 50 lbs.


SPPS is the only Certified Humane USDA Inspected Poultry Slaughter Facility in New England.

*We Suggest if you're unsure of weight air on the side of caution and limit to 6 birds per crate.

You are still charged for the slaughter cost of your bird even though you will not receive a final product from DOA or condemned birds.

DOA – Dead on Arrival

Non-Conforming or Rework Fee

For each bird in your flock requiring rework as identified by the USDA inspector to meet USDA standards of wholesomeness, to cover the additional labor there will be a charge of $1 per bird as well as the cut charge if a bird must then be cut instead of packaged whole.


Alternatively Non-Conforming or Rework Fee regardless of flock size.

  • if 20% to 50% of your flock requires rework, the fee will be $200,
  • at 50% to 80%, the fee will be $400,
  • at 80% or more, the fee will be $600.

Extreme Cases of Non-Conforming or Rework may see higher Charges depending on the scope of work to make birds wholesome and the time the production line is slowed by.

In addition to the Non-Conforming or Rework Fee, any charges assessed by SPPS from the USDA for Inspector overtime will be passed on to you. This covers work that extends beyond normal operating hours for your slaughter and processing.

Please remove all plastic and metal bands from poultry prior to arrival.

Removal of bands by the facility will fall under rework and fees applied accordingly.


Poultry will be packed in Wax Alternative Boxes. We no longer accept coolers or outside boxes. 

A late drop-off fee will be applied to any flock delivered after 7 a.m.

The fee will be $3 per bird, or a minimum of $250, plus any overtime charges from the USDA for that day's slaughter.


A flock is "Dropped Off" once crates are unloaded and the receiving paperwork is completed.


SPPS Staff are not responsible for unloading crates; paperwork will begin once you unload your flock in the designated area.


If our preferred method of palletizing crates is used, a tractor-forklift operator will be available to unload your pallets, and if you are outside the facility by 6:30 am no late fee will be applied.


If your crates are not palleted and you are not on site before we start unloading a palleted customer, the Late drop-off Fee terms apply to you regardless of your wait time to enter the unloading queue.

Pick-up windows are precise please be on time or staff will not be available to release your product to you past the pickup window.


Pickup: Based on your Intake form, at 5 pm Sharp.


If we are notified, and you provide an ETA we can accommodate, an additional charge of $60 per 15 min past 5 pm will apply. Charges apply starting at 5:01, 5:16, etc.


If you’re not at the Facility by 5 pm and we haven’t heard from you, we will close the facility and an additional charge of $50 per case per day for cold product storage will apply. 


All poultry must be picked up and transported in a manner that maintains a temperature of 40 degrees Fahrenheit or lower, no exceptions.

This applies regardless of the distance being traveled. 

Proper cold chain compliance ensures food safety and prevents spoilage and is regulated by the USDA.

If your flock is 6% or more short of what you booked then we will charge you for up to 6% less of your booking number regardless of the birds brought to slaughter.

Any bounced or canceled checks will have a $50 charge and any bank related fees/costs added to invoices.

Checks that our bank applies an extended hold to process will not be accepted as a form of payment in the future.

Seasonal Volume Discount Program Terms 2026

Comprehensive guidelines to ensure clarity, fairness, and mutual success in our poultry processing partnership.

These terms of service ("Terms") outline the agreement between Steadfast Farms Poultry Processing & Slaughter LLC (hereinafter referred to as "Steadfast Farms") and [Customer Name] (hereinafter referred to as the "Customer") regarding the commitment to the volume of chickens brought to slaughter for the purpose of availing volume discounts. Please note: Customers under the Seasonal Volume Contract are also subject to the Retail Terms and Conditions, which include detailed booking processes requiring a signature. Relevant fees, such as the Rework Fee, apply unless explicitly superseded by terms within this contract. In the event of a conflict between the terms of this contract and the Retail Terms and Conditions, the provisions of this Seasonal Volume Contract will take precedence.
This section defines the Customer’s seasonal volume commitment, the tiered pricing incentives available under this program, and how seasonal discounts interact with daily booking volume pricing. Seasonal volume discounts are applied throughout the season based on the Customer’s selected commitment tier and are reconciled through the Seasonal Commitment Deposit as outlined in Section 5.

2.1  Volume Tier Structure 
The Seasonal Volume Commitment shall be structured in tiers, each tier corresponding to a specific quantity of chickens to be brought to slaughter within the 2026 season. Seasonal volume discounts are cumulative and are applied in addition to daily Booking Volume pricing, not in place of it.
2.2 Seasonal Volume Commitment Savings 
  • 1,000 – 2,000 Save an additional $0.25 per bird
  • 2,001 – 5,000 Save an additional $0.50 per bird 
  • 5,001+  Save an additional $1.25 per bird 
2.3 No Bag Fees for Retail Packages
Customers enrolled in the Seasonal Volume Discount Program will not be charged standard bag fees for retail-packaged products processed under this contract throughout the 2026 season. If the Seasonal Volume Commitment is not met, the sole recourse is forfeiture of the Seasonal Commitment Deposit. No retroactive bag fees will be assessed.

2.4 Offal and Discard Barrel Fees
Customers enrolled in the Seasonal Volume Discount Program receive a discounted Offal and Discard Barrel Fee.
Standard Rate: $55 per barrel
Seasonal Volume Discount Program Rate: $50 per barrel
Barrel fees are prorated based on actual barrel usage and assessed per booking in accordance with Steadfast Farms Retail Terms and Conditions.

If the Seasonal Volume Commitment is not met, the sole recourse is forfeiture of the Seasonal Commitment Deposit as outlined in Section 5. Previously assessed barrel fees will not be retroactively adjusted. 

This agreement becomes effective on the date it is signed by both parties and remains in effect through December 31, 2026, unless terminated earlier in accordance with these Terms.

3.1 2026 Season Definition 
For purposes of this agreement, the 2026 season is defined as the period beginning with the Customer’s first slaughter booking occurring after execution of this contract and continuing through December 31, 2026.

Any bookings, services, or processing completed prior to the execution of this contract are excluded from the Seasonal Volume Commitment and associated discounts. 

This section outlines the Customer’s operational responsibilities required to participate in the Seasonal Volume Discount Program and to support efficient scheduling, staffing, and processing throughout the 2026 season.

4.1 Volume Commitment 
The Customer agrees to commit to the volume of chickens specified in the selected Seasonal Volume Commitment tier within the 2026 season. All bookings must be submitted through Steadfast Farms’ intake system.
4.2 Seasonal Booking Dates
All slaughter dates and estimated bird counts for the entire 2026 season are required prior to the Customer’s first booking under this contract. These dates and volumes will be entered as Future Tentative Held Dates.
Requests for changes after submission may be considered, but are not guaranteed and are subject to availability, operational feasibility, and scheduling priority as outlined in Section 7.
4.3 Cut Sheets
Cut sheets must be submitted to Steadfast Farms no later than 31 days prior to the scheduled booking date. If this deadline is missed, the booking will default to whole birds.
If changes can be accommodated after the 31-day deadline, a $100 Administration Fee will apply. If changes cannot be accommodated, the booking will proceed as whole birds with no administrative fee assessed.

This deadline is non-negotiable and is required to maintain operational efficiency and proper planning. Unforeseen circumstances, including supply chain delays, weather events, labor shortages, equipment failures, or flock health issues, do not waive this requirement and are addressed separately under Section 6 (Mortality).

This section outlines the deposit requirements associated with individual bookings and the Seasonal Volume Commitment. Retail booking deposits secure specific processing dates, while the Seasonal Commitment Deposit ensures fulfillment of the Customer’s selected seasonal volume tier.
5.1 Retail Per-Booking Deposit 
A retail deposit is required for each booking throughout the season. First-time customers must provide a 50 percent non-refundable deposit within 7 days of receiving their invoice. Returning customers must provide a 30 percent non-refundable deposit within 7 days. This deposit secures the individual booking date and is applied to the balance due at pickup for that booking.

5.2 Seasonal Commitment Deposit 
At the time of contract signing, Customers must provide a Seasonal Commitment Deposit in addition to the retail deposit required for the first booking. This deposit is calculated using the maximum bird count of the Customer’s selected Seasonal Volume Commitment tier and represents the difference between retail pricing and the applicable tiered discount.

5.2.1 Calculation Example (Illustrative Only)
Calculation Example: For Tier 1 (1,000 – 2,000 birds), with a maximum seasonal commitment of 2,000 birds, the deposit is calculated as follows:   

2,000 birds x $0.25 (Tier 1 savings) = $500 Seasonal Commitment Deposit.

5.3 Application of the Seasonal Commitment Deposit 
The Seasonal Commitment Deposit will be held until the Customer’s cumulative seasonal volume meets or exceeds the minimum threshold of the selected Seasonal Volume Commitment tier. Once the threshold is met, the deposit will be applied as a credit toward the balance due for that qualifying booking.

If the Seasonal Volume Commitment is not met by the end of the 2026 season, the deposit is forfeited and retained by Steadfast Farms to offset the discounted pricing applied throughout the season. No retroactive pricing adjustments or additional charges will be assessed.

5.4 Non-Refundable and Non-Transferable 
The Seasonal Commitment Deposit is non-refundable and non-transferable under all circumstances, including booking changes, flock size adjustments, cancellations, or early termination.

5.5 Balance Due

The balance for each booking is due in full prior to product release at pickup. Failure to remit payment may result in delayed release, additional storage fees, and suspension or cancellation of future bookings. 

Under Steadfast Farms’ Retail Terms and Conditions, flock mortality is evaluated on a per-booking basis.

For Customers enrolled in the Seasonal Volume Discount Program, flock mortality is evaluated on a seasonal basis rather than per booking, provided the Customer meets their total Seasonal Volume Commitment by the end of the 2026 season.

6.1 Seasonal Mortality Treatment
Individual bookings may fall below the scheduled bird count by up to 6% without penalty. Shortfalls may be offset by increased bird counts on subsequent bookings or by adding additional bookings later in the season.

A reduced bird count for any individual booking may result in a change to the applicable daily booking volume tier for that booking. Seasonal volume discounts remain applied throughout the season, provided the Seasonal Volume Commitment is met.

6.2 Seasonal Commitment Requirement
If the total Seasonal Volume Commitment is not met by the end of the season, the Seasonal Commitment Deposit is forfeited in accordance with Section 5. No retroactive pricing adjustments or additional charges will be assessed.

6.3 Increased Seasonal Volume Credit 
If a Customer’s cumulative seasonal volume increases to a level that qualifies for a higher Seasonal Volume Commitment tier, the Customer becomes eligible for a credit reflecting the additional savings that would have applied had the higher tier been selected initially.

This credit will be issued as invoice credits applied to bookings in the 2027 season, provided the Customer commits to the higher Seasonal Volume Commitment tier for that season or an equivalent program if program terms change.

6.3.1 Credit Value 
  • Credits issued under this section:
  • Have no cash value
  • Are non-transferable
  • May only be applied as invoice credits
  • May not be applied retroactively or within the season in which they are earned

 

  • Processing schedule priority is determined based on the Customer’s Seasonal Volume Commitment tier and daily booking volume. Customers with higher seasonal commitments and larger daily volumes receive priority over customers with lower commitments or smaller daily volumes.
  • Steadfast Farms will make reasonable efforts to accommodate requested changes to scheduled dates or volumes, provided such changes do not negatively impact customers with higher priority or exceed available processing capacity.
  • Requests submitted with earlier notice will take precedence over late requests or requests made without sufficient communication, consistent with the requirements outlined in Section 4.
  • While Steadfast Farms strives to accommodate customer needs when feasible, all scheduling changes remain subject to operational availability and are handled at Steadfast Farms’ discretion. 
Either party may terminate this agreement with written notice provided at least 31 days in advance. Upon termination, all deposits paid under this agreement are non-refundable and will be forfeited to account for discounted pricing applied and processing capacity reserved to date.

8.1 Effect of Termination
Upon termination of this agreement, any future bookings will be subject to Steadfast Farms Retail Terms and Conditions. Termination does not result in retroactive pricing adjustments, additional charges, or repayment of discounts previously applied.

8.2 Termination for Breach 

If the Customer fails to comply with Section 4 (Customer Obligations) or Section 6 (Mortality), Steadfast Farms may terminate this agreement upon written notice. In such cases, the Seasonal Commitment Deposit is forfeited in accordance with Section 5, and the agreement will be deemed terminated. No retroactive repricing or additional charges will be assessed. 

Both parties agree to maintain the confidentiality of non-public information exchanged in connection with this agreement, including but not limited to pricing, scheduling, operational details, and business practices. This obligation does not apply to information that is publicly available, independently developed, or required to be disclosed by law or regulatory authority.

9.1 Changes to Terms
Any changes specific to this Seasonal Volume Discount Program will be provided to the Customer in writing, including electronic communication, with at least 31 days’ notice.

Steadfast Farms may update its Retail Terms and Conditions or website policies independently and without notice. In the event of a conflict between this agreement and the Retail Terms and Conditions, the provisions of this Seasonal Volume Discount Program agreement shall control.

Steadfast Farms Slaughters under Federal USDA inspection for all species and customers. There is no custom or non USDA services offered.

All of our pricing is available on our webpage and we are available to answer Question by phone or email. Please be patient while awaiting a response as we are often in the facility working, the field raising our own flock or have scheduled appointments. All deposits for slaughter are non-refundable. Seasonal Volume Contracted Customers get Priority Calendar Management, but all customers who reach out more than 31 days before their appointment have the ability to change their date within the same calendar year within our ability to do so.

No, Popped seals do happen from time to time. Freezing and thawing may change the shape of the meat which can lead to compromised seals. A loose package does not mean the meat is spoiled or damaged or unwholesome in any way. Note*, it may be more susceptible to freezer burn.
